Team and Group Chairs,

TODAY is the last day to register for the Technical Plenary.  Registration
will officially close tonight at midnight. Amy and I need the day tomorrow
to finalize meeting room locations for all group meetings and submit to the
hotel by close of business tomorrow. The hotel will need time to finalize
their internal daily programs to match W3C's program schedule to ensure
that each meeting room is set properly for seating and AV.  (Monday is a
holiday.)  We cannot accept AV orders after tomorrow OR on-site.

Some groups have lower numbers than initial estimates and may be moved to a
smaller meeting room. PLEASE inform your group members to register for
group meetings and the Wednesday Plenary if they have not already done
so.  It would be a shame if your group ended up in a smaller room because
folks forgot to register.

Procedure for Meeting Room Assignments -- Please read

As in previous years (for meetings held in the US), meeting room
assignments are based on the number of group members that register to
attend the meeting, not the number of observers (or not group members +
observers).  We also take joint meetings into account.  There were several
requests this year (significantly more than in past years) for joint
meetings. We have done our best to provide adequate space for joint 
meetings.

Group seating arrangements will be U-shape (unless otherwise noted).  For
groups that permit observers, chairs will be placed around the perimeter of
the room for Observer seating.

Again as in previous years, Observer registration is higher than
expected.  Most meetings will have chairs for 6 observers; we will try to
note on the web the Observer seating for each group but cannot do that
until room allocations have been finalized tomorrow afternoon.  It will be
up to Group Chairs to manage crowd control.  Since observers register to
observe several meetings, it may not be an issue.   Observers should be
mindful of folks that begin to queue outside meeting rooms.

The hotel reserves the right to ensure that meeting rooms don't become
overcrowded in accordance w/ U.S. fire code laws and may ask folks to move
to another room or visit the lounge.
