Observers policy / f2f registration announcement

Greetings,



Please register for the upcoming face-to-face meeting, October 3rd 
through 5th in Amsterdam, via this questionnaire:

The questionnaire is open until September 21st.

We are still putting together an agenda. We do expect to be able to end 
the day a little early on Friday, likely by 3 pm, which may enable 
Europeans or those on the US East Coast to catch return flights.

For prior face-to-face meetings, we allowed all interested members of 
the public as observers for our f2f meetings as space allowed. This time 
we are going to sharply reduce observers for the Amsterdam meeting. As 
we have seen, it can be difficult to keep discussion focused and make 
decisions with too large a group. We are happy to allow observers to 
follow the meeting remotely via phone and IRC and will provide the same 
public minutes and recorded decisions as we have in the past (keep in 
mind that we will be on Central European Time.) If you have any 
questions about remote participation or accessibility issues, please 
contact Nick.

We will still welcome a few guests from relevant regulatory bodies and 
from our hosts. If the chairs believe an observer will be particularly 
helpful for the group in performing its work, we can extend an 
invitation on a case-by-case basis, but we expect to do so rarely, if at 
all. As always, those interested in attending as observers should 
confirm with the chairs before making plans to attend.  (For those who 
have reached out already, expect a response soon.)

Finally, we will try to have some group dinners during our stay in 
Amsterdam. Let us know (in the registration form, your current best 
guess is fine) which evenings you'd be available to join a dinner with 
others in the group. Pending confirmation, we may have dinner on a canal 
boat one evening.

We look forward to a busy month, and a productive meeting in Amsterdam.
