In fact Philippe Le Hegaret will be arriving back in Boston from Tokyo on the 12th and so will be around on the 13th. And he's checking on getting a meeting room and lunch arranged. For now, I've told him you're expecting to have about ten people. If you think you'll have more attending, please let me know roughly how many (15? 20?).
