Chris Langston introduced himself as a new EOWG participant from Pearson. Status was then given for the following scheduled Resource Management Updates:
Next Brent reminded the group of the possibility of a face to face meeting in November at the Accessing Higher Ground Conference in Boulder CO. Please update your availability to attend. The WAI Site redesign TF work statement was posted to the survey. Please approve and/or comment there. Brent thanked everyone for their efforts and reminded everyone to continue work on their resources, to stay current with work for this week, and to complete the survey.
Chris: I am Chris Langston formerly from Georgia Tech now working for Pearson.
<shawn> Chris intro email to EO list
All: welcome
Brent: Update on the compilation video. Production company contributed pro bono work to put all into one 7 minute video, available on YouYube.
Shawn: Announcement will be next week and y'all can watch for it and help spread the word.
Shadi: Very nice gesture on the part of the production company Kartoffel to donate their time to do this work.
... they blogged about it and have become advocates themselves.
Brent: Very pleased with the results and use it as an example within Pearson.
... any comments or questions?
MaryJo: Quick update. This week I finished up my plan, it is in the wiki, linked from the agenda
<Brent> Policies Resource: https://www.w3.org/WAI/Policy/
MaryJo: folks can see where the project is now, put the requirements and issues in GitHub. I also have a couple of issues within the plan but not yet put in GitHUb. Th schedule is in the wiki. My next milestone is to have a firm proposal for the team to review by MOnday Aug 29
Brent: any questions for MJ at this time?
<Brent> Policies Project Plan in Wiki: https://www.w3.org/WAI/EO/wiki/Web_Policies_Project_Plan
Brent: Here is the link to MaryJo's project plan wiki page. It is another great example of a way to organize your work and use her plan as a template for resources you are working on.
... will link from the Resource Life Cycle pages in the wiki.
... thanks MaryJo, I appreciate your work on this resource.
Brent: Caleb is out, will report next week
Shadi: This suite of three resources has mostly been approved, there was an issue with the second one and we have an agenda item on that later in today's meeting. Once we have addressed the issue, the resources will probably require re-alignment.
... those issues will be resolved and moved to the survey soon for final wrap-up.
Brent: Questions or comments?
Brent: Anyone want to step up?
... OK then next week we will hear from Caleb on Easy Checks; Denis on Getting Started Tips; Brent on WCAG Overview; Andrew on Presentations and Training; Shawn and Sharron on Accessibility Intro; Susan on Mobile; Howard on Eval Template
... appreciate all the work and leadership on these issues.
... any other questions?

<Brent> Face to Face Availability Survey: https://www.w3.org/2002/09/wbs/35532/F2F2016/results
<Chris_Langston> I will definitely be in CO for AHG already, so count me as available.
Brent: Trying to confirm, please review the results and update if possible.
... especially see if the maybes are leaning to the positive or negative.
... Given the new responses, are we at a tipping point where we can say we will have a face to face?
Shawn: Maybe after we hear back from Susan and Laura?
Sharron: what is the topic of the face to face?
<shawn> [ perhaps content disposition of https://www.w3.org/WAI/intro/accessibility.php if we don't get to it before then...]
Brent: Working on some of the resources together, and the topics in the November sprint for the redesign. But we are still open for ideas of things that the group would like to work on.
Sharron: Planning for 2017 and beyond and preparing for charter discussion would be my suggestion. In fact I would suggest that we get a skilled strategic planning facilitator and think about EO purpose and direction in the long term.
Brent: and to set a f2f calendar so people can ask for budget in advance
... will create survey for next year for your response
... comments about the AHG f2f?
Brent: This is the newest version of the Improving your site document ...Shadi?
Shadi: Big thanks to Shawn for her comments on my first draft to address comments. The original idea for this document was to recognize that there is a big difference in how you address accessibility in a made-from-scratch web site and one that is already made and in service.
... the use case was somebody is considering accessibility for an existing site or one that has been in development and about to launch - retrofitting in other words.
... rather than do nothing, this document guides the web site owner to certain rescue activities while recognizing it will not get them to a place of full conformance.
... several recommendations, many were still too long term. Another issue was the document title.
... so the title changed from Improving the Accessibility of your web site to Short Term Web Site Accessibility Improvements.
<shawn> title discussion https://github.com/w3c/wai-planning-and-implementation/issues/63
<Chris_Langston> titles are a bit like writing good alt text. There's an art to it. :)
Shadi: Shawn, did you have any comments to bring to the group? This will be part of the survey, please do take the time to review it, it is unfortunately a situation that many people find themselves in and we want to provide some level of support.
Shawn: As it is now, it is much much closer to meeting the stated goal. The first paragraph doesn't really work for me, if someone can take a pass at ideas for the first paragraph, that will be appreciated.
... survey questions may be like whether your comments have been addressed and for those looking for the first time, look at whether it is the right info, approach is appropriate, and any ideas for first paragraph.
Sharron: What about the title?
Shawn: Group should decide, I think it could be worth it.
<shawn> maybe the fresh blood will help with title ideas :-)
Shadi: I think it is a good idea to reconsider.
<Chris_Langston> Maybe "First Steps Toward Accessibility" or something to that effect.
<Chris_Langston> put a positive spin on starting a process, rather than making it sound all inclusive.
<Howard> I like "first steps"
<shadi> [+1 to chris - "yes, you can do it!"]
<shadi> Don't Panic
Chris: The audience looking at this will likely be new to accessibility so we could put a positive spin by saying this is a starting place and thereby let them know it is do-able.
... instead of the idea of "temporary" make the idea one of just starting.
<shawn> Would be great for people to add titles ideas to GitHub issue thread on the title -- > https://github.com/w3c/wai-planning-and-implementation/issues/63
Brent: View GitHub comments and then use what has already been commented and add my perspective to that.
Shawn: Can share any additional thoughts on title or content now since we have time.
<Howard> I also like "stop gap" also but actually think "First Steps" is better
Chris: For a previous project with teachers, we pitched accessibility improvements as low cost, low impact effort. May be worth considering.
Shadi: Chris, these are helpful, I look forward to your comments. Laura, you also had some comments in previous iterations and Susan you have been active on many of the threads, I look forward to your comments.
Brent: We are in the process of redesigning the WAI web site. A smaller group is working on that. AnnaBelle is a co-lead on that Task Force with James Green
... have the work statement updated for review
<Brent> Redesign TF Work Statement
Brent: Wanted everyone to review and accept the Work Statement or to ask questions or comment. It will be on the survey for consideration and approval.
AnnaBelle: Have not had the chance to read it, is it correct that there is only one change since it was last approved by the TF?
<AnnaBelle> here's the URL I had https://www.w3.org/WAI/EO/wiki/WAI_site_TF
AnnaBelle: When we signed off on the TF work statement months ago, it did not say "initial" with leadership and participation. There were enormous changes made after the TF first signed off on it and this was one of them, so I am not willing to sign off on that phrase.
Shawn: I replied in email - the meaning is that when changes occur in participation, it does not need to be updated and approved everytime there is a change to participation.
<shawn> The Charters and the Task Force Work Statements are intended to be stable documents - once approved, they don't change -- any substantive changes to them require re-chartering with W3C Member approval, or for Task Forces, WG approval. So we put "Initial" in the charters and when we remember we also put that in the work statements. Then any changes to chairs, facilitators, staff contacts, participants, etc. are listed in the WG or TF pages that are more updated with current info.
<shawn> The W3C Charter boilerplate has "Initial Chairs" and "Initial Team Contacts",
<shawn> e.g., see the table at the top of https://www.w3.org/WAI/EO/2015/charter6-2015-09
AnnaBelle: OK that makes sense, I withdraw my objection.
Brent: This is the statement that broadly defines the scope of the project, communication methods, leadership, and participation. Any questions?
... then we will add this to the survey for EO approval.
... thanks everyone. I appreciate the effort.
Brent: We will have the questions as discussed during the meeting; minute approval, TF work statement approval, etc.
... any final business?
Shadi: Thanks everyone, have a great weekend.
<Susan> Bye everyone!
Brent: Thanks we are adjourned.
