Re: [wot-ig/wg] minutes - 27 November 2019

Kathy,
Regarding head count, generally our events have three parts: a plugfest/testfest/hackathon (optional, typically 2 days; both WoT and non-WoT attendees), a working F2F (WoT members only, typically 2-3 days), and an Open Day (participants from outside the WoT membership welcome; a 1 day mini-workshop). Participation and requirements vary for each part. Historically, attendance has been something like…

  1. Plugfest: 20-30 participants
  2. F2F: 20-30 participants
  3. Open Day: 30-50 participants
Of course participation will also depend on how much we advertise and/or reach out to people. But generally speaking, a conference room is ok for the Plugfest and the F2F, but a theater-style room focused on presentations is better for the OpenDay (although we have also had demos for the Open Day).

We’ve used the word “launch” for the March event; I think the idea is that we’ll have a new charter and published standards by then so we want to reach out to new people and grow our membership. So if we do marketing etc, we may want to aim for a larger participation, especially for the Open Day.

Agenda

Future F2F Planning

Sebastian: still looking for good places.

McCool: March 21 - 27 is IETF in Vacouver - would like to avoid
   that.
... any other week in March is OK.

McCool: Vancouver might be a better option of coordination.
... it would be really good if Mozilla could host this kickoff
   meeting (March).

Mozilla has an office in Vancouver, although I've not been there. We also have two offices in the Bay Area -- San Francisco and Mountain View -- easy flight from Vancouver. I'm normally based in Mountain View.

Sebastian: so we have two European offers in a row. So we
should consider Vancouver, or maybe Asia.

Mozilla also has an office in Taipei, in a nice location of the city (near Taipei 101 tower). I was just there a couple weeks ago. Great place to attract ODM partners and encourage them to adopt a Web of Things framework (especially for W-Fi based devices such as outlets/plugs, bulbs, IP-cameras, smart speakers, ...)

McCool: need to research India visa requirements.
... more in favor of India in 2021. The launch should be near a
   big airport.
... we also considered Spain (Madrid).
... WRT to Asia, we've been to Japan a couple of times. Fujitsu
is in California, so that could also be an option.

Sebastian: Fujitsu is already hosting an event for us in CA.
... so it seems that Helsinki for June seems likely? Still need
   an option for March.
... Mozilla in San Francisco could be a great option.

Is there already a date in mind? I'm unavailable the weekend of March 13-15.

Ege: Web Conference in April, 2020 in Taipei (April 20-24)?

As noted, Mozilla has an office in Taipei. All of our office locations would be cozy, but worth considering.

McCool: if we do the April meeting, late June for Helsinki
would be better. (July people are on vacation.)

Sebastian: let us know if your company can host - rooms are
most expensive. Coffee and Lunch we can organize on our own.
   Rooms are the important thing.

McCool: a room with desks, a projector, and internet.

As far as EU is concerned, we have offices in London, Paris, and Berlin. But I think that the common/conference areas in each of those offices is not that large. I'll do some research on the maximum head count we can host for an event in each office. Do we have an estimated/target head count?
