I have approval to attend the meeting and the conference. 13th or 14th would be fine or me, either way. I don't plan to attend any workshops.

Networking would be valuable/essential.

A video projector and screen could be useful but it depends on the cost. And the test suite has pretty clear pass/ail, its not like we need to discuss fine details of rendering.

If its in a hotel setting then i assume we can get coffee/snacks easily in the lobby without having to have them catered in; same for lunches if there are places nearby.
