Meeting minutes

  workshop

kaz: several people including Michael Koster , Song Xu and
Brian Kardell have agreed to join the PC
. would like to send out the invidual reminders

kaz: following up with several other people, e.g., Kim Patch,
Phil Archer, Markku Hakkinen and Bevcorwin. Possibly Janina
   Sajka as well.

dirk: how many do we want?

   kaz: about 10

   debbie: gerard

   gerard: yes

   debbie: when should we meet?

kaz: we can start initial discussion
   . send reminders in parallel

   debbie: next week?

kaz: will create a dedicated mailing list and set up a zoom

kaz: we can use this slot in two weeks

debbie: when can we send out call for participation?

kaz: almost done and we can send to the first confirmed PC
   members
. and then confirm with the rest of the PC

kaz: no cost since this is a remote virtual workshop

   debbie: agenda for PC meeting
   . review call for participation
   . figure out the dates

   kaz: basic structure

   dirk: way of submission

   debbie: format of submission

   debbie: how many sessions

dirk: how many sessions depends on how many submissions

debbie: typically about 25 submissions in in-person workshop

kaz: for Smart Cities, maybe 20 or so was the total number

kaz: sessions should have the same topics
. the final session should have the final summarization

<kaz> [6]example of the list of talks from the smart cities
   workshop

      [6] https://w3c.github.io/smartcities-workshop/talks.html

dirk: looks like Smart Cities talks were about 6 minutes

kaz: should ask about time zone in CfP

<kaz> [7]agenda page of the smart cities workshop

      [7] https://w3c.github.io/smartcities-workshop/agenda.html

kaz: four topics for each session in Smart Cities
. marketing communications head says that Shutterstock contract
   is expiring
. might not be able to use Shutterstock graphics

  draft CfP

   <kaz> [8]draft cfp

      [8] https://w3c.github.io/smartagents-workshop/

debbie: should we consider cutting down on the topics?

kaz: group topics into several categories

dirk: for horizontal categories, should include accessibility
and usability, discovery and trust may not be in scope

dirk: move that topic to "needs of users and developers"

kaz: it might be easier to understand if we categorize
   different viewpoints

debbie: should not talk about ASR or state transitions, those
   are too broad

we agree to move "accessibility and usability" to the section
on "needs of the users", and leave in "Horizontal platform
   considerations"

kaz: we should move internationalization as well to user needs

debbie: PC should work on consolidating topics so they aren't
   too broad

debbie: how much do we want to talk about multimodal since the
   topic is "Voice Agents"?

kaz: we should remove the line about "integrating multiple
   interchangeable modalities'

debbie: another topic for the PC is the overall schedule
. CfP, deadline for submissions, announcement of agenda,
   workshop, etc.

kaz: can use "important dates" from smart cities

kaz: we should have papers and videos ahead of time

debbie: will there be a recording?

kaz: for Smart Cities we hired a professional transcriber, but
   we didn't really use it

debbie: we could use the Zoom automatic transcript

kaz: we can also use the irc minutes

debbie: we need an agenda for the PC meeting
   . I could do that

debbie: debbie, dirk and kaz will be co-chairs

debbie: who will edit draft CfP?

   kaz: will do that

ACTION: kaz to update draft CfP

ACTION: debbie to create a PC meeting agenda

debbie: everyone on PC will have a W3C account and will be able
   to join this call

ACTION: kaz to create a mailing list and database

we already have a GitHub repository.
