RE: Agenda for tomorrow's call - "Amenity Use"; RDPE 1.1, Booking update; data quality

Hi all, apologies I am also not able to make the call.

We are full speed ahead at the moment with opening up our two databases and also creating an aggregated view of all open group exercise activities – this is keeping me very busy!

I have been liaising backwards and forwards with Nick a lot (thanks Nick) and I think he has been sharing some of our learnings along the way with Leigh too!

Hi Nick,

I too am unable to make the call today but am happy to take any questions from an operators perspective if required.

Some of the queries are valid especially those with bigger halls.

What I would add is that because of some of the factors mentioned, many operators restrict their online bookings to certain sports hall activities only, such as badminton, table tennis, football, netball.

There are some change over requirements, but many organisations get around this by stating bookings are for 55 mins.

For activities such as gymnastics/judo which require extensive set ups and take down, most operators would add these onto to the system in advance as a management booking and should include set up take down time, so that any live availability shown by external platforms should take this into account and would only show the live available space.

I should also add that many of the online bookings system we use allow configuration of hire options. For example with XN you can state which bookings are not compatible together, so on a 8 courts hall, five a side and basketball could be flagged not to be allowed together. We also have the option to restrict which activities can be booked online. We can also state the booking start time i.e on the hour or half hour. We don’t like to offer to much flexibility to customers with this online as if you do you end up with a lot of half hour slots that are empty but unbookable for example 2.00pm – 3.00pm 5 a side, 3.30pm-4.30pm badminton.

Happy to field any queries?

Regards,

Nathan

Hi Leigh

Unfortunately I cannot make the call today but I would echo Raymond’s points.

The issue is with Sports Halls, particularly where they are over 4 courts and above which allows for different sports and multiple configurations. Quite often they will also build in a bit of change around time as well, especially if they are reconfiguring a sports hall to badminton from gymnastics. Our design guidance note on sports halls layouts shows the complexity https://www.sportengland.org/media/4330/sports-halls-design-and-layouts-2012.pdf . I think it would be useful for one of the operators to look at this, preferably a site manager who deals with this day to day.

On another point regarding equipment, I don’t know whether there should be some form of flag next to it to say that although they may have it on site, it cannot be used unless you are a club member or have some form of specialist licence (liability and health & safety etc.)

Hi Leigh

I might not be able to make the call tomorrow so I figured I would send my feedback in writing just in case.

Overall, the bulk of the changes for amenities look good – and would fit in nicely with what we provide for court hire etc. My only concern is the impact that this may have to the paged data due to cascading updates.

For example:
We often have cases where a single hall is setup such that it can be booked in any of the following combinations (Imagine a set of bounded rectangles that in turn halve the previous boundaries):
1 x Main Hall ( eg. Roller Disco)
2 x 5-a-side football pitch
4 x Badminton court
8 x Table Tennis court
All of these opportunities would be setup with unique/multiple *overlapping* schedules, eg: All are bookable weekdays between 9am and 9pm but 5-a-side runs hourly, Badminton has options for 30mins/hourly and Table Tennis runs every 30mins.

Booking a single table tennis court (30minute timeslot), would automatically affect the availability of the containing Badminton Court and its containing 5-a-side football pitch and the overall Main Hall, not only for the 30minute timeslot that Table Tennis runs at, but for the hourly timeslots that the Badminton/5-a-side run to. Similarly, a cancellation of a booking has multiple cascading availability updates. If all the affected amenities availability needs to be reflected for every update the paged dataset will grow very large very quickly.
